Who we are
Fixed Asset Consultant ("we", "us", "our") provides fixed asset consulting, data cleanup and conversion, CIP and capital project consulting, advisory services and related software tools. This policy explains how we handle personal information collected through fixedassetconsultant.com, its forms, and the client portal at /portal/, and how we handle information our clients share with us during an engagement.
Questions about this policy or your information can be sent to angela@fixedassetconsultant.com.
Information we collect
Information you give us
- Contact and inquiry forms. When you request a conversation, a quote, a free guide or checklist, or access to the client portal, we collect what you enter: typically your name, work email, company, role, phone number, and details about your fixed asset environment, systems, timeline or project.
- Call scheduling. If you book a call, Calendly collects your name, email and any answers you provide, and shares them with us.
- Email and other correspondence. Anything you send us directly.
- Client portal accounts. Your name, email address, login credentials (passwords are handled by our authentication provider and are never visible to us), your role, and the messages, approvals, signatures, time entries and documents you add to an engagement.
- Payments. If you pay an invoice through the portal, payment is processed by Stripe. We receive confirmation of the payment and limited billing details; we do not receive or store full card numbers.
Information collected automatically
- Server and analytics data. Our hosting provider records standard request information such as IP address, browser type, pages requested, referring site and time of visit. We use aggregated reports from this data to understand traffic and fix broken links. This server-side analytics does not use cookies.
- Microsoft Clarity. On most pages we use Microsoft Clarity to understand how visitors use the site, through usage heatmaps and session recordings of clicks, scrolling and page interactions. Clarity uses cookies and similar technologies, and Microsoft processes that data under the Microsoft Privacy Statement. By default, Clarity masks the text you type into form fields.
- Campaign tags. If you arrive through a link carrying campaign parameters (for example
utm_source), the site keeps them in your browser for that visit and includes them with any form you submit, so we know which campaign brought you. - Browser storage and cookies. The site stores small preferences in your browser, such as whether you dismissed a banner. The client portal sets a login cookie to keep you signed in.
How we use information
- To respond to inquiries, schedule and hold conversations, prepare proposals and quotes, and send the resources you request.
- To deliver, manage and bill for engagements, including operating the client portal.
- To send service-related messages, such as portal invitations, password resets and engagement notifications.
- To occasionally follow up about our services when you have contacted us or requested a resource. You can ask us to stop at any time.
- To understand and improve the website, its content and its usability.
- To protect the site and portal against spam, fraud and misuse, and to meet legal, tax and accounting obligations.
Client engagement data
Our work often involves client business records such as fixed asset registers, CIP and project data, depreciation and tax records, ERP exports and system configurations. We treat that information as confidential client information. We use it only to perform the work we have been engaged to do, share it only with people involved in the engagement, and do not sell it or use it for marketing.
Where an engagement letter, statement of work or other written agreement sets out terms for handling client data, including confidentiality, retention, return or destruction, those terms govern and take precedence over this policy. AI tools are applied to client data only in the way agreed with that client.
How we share information
We do not sell personal information, and we do not share it with third parties for their own advertising. We share information only in these circumstances:
- Service providers that operate parts of our business on our behalf, under their own privacy and security commitments: Netlify (website hosting, forms, analytics, authentication, database and file storage), Microsoft (Clarity analytics), Calendly (scheduling), Stripe (payments) and Resend (transactional email). Pages also load fonts, icons and styling from Google Fonts, cdnjs (Cloudflare) and the Tailwind CSS CDN, which receive your IP address and browser information when your browser requests those files.
- People working on your engagement, such as subcontractors bound by confidentiality, and the members of your own organization you invite to the portal.
- Legal and protective reasons, when required by law, legal process or a regulator, or when needed to protect our rights, our clients or others.
- Business transfers, if our business is reorganized, merged or sold, in which case the information remains subject to this policy's protections.
- With your consent, or at your direction.
Cookies and your choices
You can block or delete cookies through your browser settings; the website will still work, though the client portal needs its login cookie to keep you signed in. Blocking cookies for clarity.ms stops Clarity from linking your visits together. We honor Global Privacy Control signals where applicable law requires it. Because there is no common standard for "Do Not Track" browser signals, the site does not respond to them.
How long we keep information
We keep inquiry and form submissions for as long as they are useful for the relationship, typically no more than three years after our last contact unless you become a client. Client engagement records and portal data are kept for the duration of the engagement and afterwards as required by our agreement with the client and by legal, tax and professional record-keeping obligations. Analytics data is kept according to our providers' standard retention periods. When information is no longer needed, we delete it or make it anonymous.
Security
We use reasonable administrative, technical and physical safeguards to protect information, including encrypted (HTTPS) connections, role-based access to the client portal so that each user sees only the engagements they belong to, and access controls on stored documents. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please contact us promptly if you believe your account or information has been compromised.
Your rights
Depending on where you live, you may have the right to ask us to:
- confirm whether we hold personal information about you, and provide a copy;
- correct information that is inaccurate;
- delete your information, subject to legal and contractual record-keeping obligations;
- stop using your information for marketing, or object to or restrict certain processing.
To make a request, email angela@fixedassetconsultant.com. We will respond within the time required by applicable law and may need to verify your identity first. You may use an authorized agent where the law allows it. We will not discriminate against you for exercising these rights. If you are in the European Economic Area or the United Kingdom, you may also complain to your local data protection authority.
If you are a client's employee and your information is in records your employer shared with us, please direct your request to your employer, and we will help them respond.
International visitors
We are based in the United States, and our service providers may process information in the United States and other countries. Those countries' data protection laws may differ from yours. Where the law requires it, we rely on appropriate safeguards for those transfers, such as our providers' standard contractual clauses.
Children
Our website and services are intended for businesses and professionals. They are not directed to children under 16, and we do not knowingly collect personal information from them.
Links to other sites
The site links to third-party sites such as LinkedIn, Calendly and published articles by our collaborators. Their privacy practices are their own, and we encourage you to read their policies.
Changes to this policy
We may update this policy as our services and the tools we use change. When we do, we will change the effective date at the top of this page, and for significant changes we will take reasonable steps to let clients know.
