The problem
There is no split-asset function in Sage Fixed Assets, and no way to merge two assets into one either. The standard workaround is to replicate the original asset as many times as needed, inactivate the original, change each copy's acquired value, and then work out each copy's share of beginning year-to-date and beginning accumulated depreciation by hand. That is fine for one asset. A cost segregation study that breaks a building into dozens of components across several properties is a different matter, and it is easy to end up with components that don't add back to the original.
How we split assets and load studies
We take the study or the split schedule, map each component to the original asset, assign the property type, method and life you specify for each component by book, and allocate the accumulated depreciation in proportion. The originals are inactivated with a note referencing the new assets, and each new asset carries a note referencing the original, so the audit trail runs both ways. The reconciliation proves the components equal the original, book by book.
What this covers
- Loading cost segregation studies on existing buildings, including look-back studies.
- Splitting group or bulk purchases into individual assets for tracking and disposal.
- Partial dispositions of building components, such as a roof or HVAC replacement.
- Splitting an asset between departments, programs or entities for expense allocation.
- Combining assets that should have been entered as one.
How the work is delivered
There are two ways to use the Critical Field Updater. Most clients start with a done-for-you project: you send the asset list and the new values, we agree on the effective-date rule for each group of assets, run a validation pass, make the changes, and hand back a before-and-after report by book that your team and your auditors can tie out. Clients who face these changes every quarter can run the same tool themselves through FAHA, our fixed asset platform, which connects to Sage Fixed Assets and keeps an audit trail of every change and who approved it.
Either way, every project starts with a full company backup in Sage Fixed Assets, and nothing is written until the validation report has been reviewed by a person on your side.
Frequently asked questions
Does Sage Fixed Assets have a split asset feature?
No. Splitting is done by replicating the asset, inactivating the original and allocating values and beginning depreciation to the copies. We do that in bulk with the allocation checked.
Do you perform the cost segregation study?
We load and audit the study in your subledger. If you need the study itself, we can work alongside your cost segregation provider, and we can review an existing study's components against your asset register.
Will the method change from a look-back study be handled?
We set up the components the way your tax adviser directs, including any accounting method change they file. The tax treatment is their call; making the subledger match it is ours.
