Correct acquisition cost on many assets in Sage Fixed Assets

Wrong values after depreciation has already run, installation costs that arrived late, a duplicated AP feed: the fix is the same, and it shouldn't take a week of clicking.

The problem

The acquired value is a critical depreciation field in Sage Fixed Assets. Once depreciation has been run, changing it prompts you to choose how the change takes effect, and the right answer depends on the depreciation method and on what you have already posted to the general ledger. Sage confirms that existing book information can't be changed through import, so every corrected value is entered asset by asset.

That is where a lot of quiet errors begin. A common one: adding installation costs to a straight-line asset using the default Current Thru option leaves the asset under-depreciated at the end of its life, unless the method is also changed to RV. Repeat that across a few hundred assets and the problem surfaces years later in an audit.

How we update acquisition cost in bulk

You send the assets and the corrected or added amounts by book. We review the method, convention and depreciation history of each asset, agree on whether the change should be retroactive (Placed-in-Service) or prospective (Current Thru, Beginning Date or Period Close), and flag every asset that would end its life under- or over-depreciated with the rule chosen, along with the method change that would prevent it.

The Critical Field Updater then applies the changes and produces a before-and-after report by book, so the difference in accumulated depreciation is ready for the GL entry.

Situations we see often

How the work is delivered

There are two ways to use the Critical Field Updater. Most clients start with a done-for-you project: you send the asset list and the new values, we agree on the effective-date rule for each group of assets, run a validation pass, make the changes, and hand back a before-and-after report by book that your team and your auditors can tie out. Clients who face these changes every quarter can run the same tool themselves through FAHA, our fixed asset platform, which connects to Sage Fixed Assets and keeps an audit trail of every change and who approved it.

Either way, every project starts with a full company backup in Sage Fixed Assets, and nothing is written until the validation report has been reviewed by a person on your side.

Frequently asked questions

Can we decrease the acquired value as well as increase it?

Yes. Decreases follow the same rules, and the before-and-after report shows the depreciation to reverse in the general ledger.

Will Sage catch up the depreciation on the next run?

With the Placed-in-Service option it recalculates from the in-service date, so the next run includes the catch-up. With Current Thru the change applies going forward only, and on straight-line assets that can leave the asset under-depreciated. We identify those assets before the change.

Can the tax book stay as it is while the internal book changes?

Yes. Each book is handled separately, so you can correct GAAP values without touching tax books that tie to filed returns.

How do you match our corrected values to the right assets?

By Sage system number or your company asset ID, with a validation pass that reports anything that doesn't match before a single change is made.
